How to Set Up WhatsApp Business for a Small Shop

1. Choose the number before installing

Decide which number customers should contact. The official Help Center says WhatsApp Messenger and WhatsApp Business can be used together only with different numbers. One number cannot be linked to both apps at the same time. If you are moving an existing number, read the current migration and backup guidance before starting. Do not treat migration as a risk-free experiment with your only business chat history.

2. Prepare accurate shop information

Write down your real shop name, category, business hours and customer-facing contact information. Decide whether the address you plan to publish is suitable for customers to see. Do not copy a sample address, use an unrelated shop photo or claim services you do not offer. A home-based business should think through its privacy and customer visit arrangements before publishing an address.

3. Use the official app and verification flow

The official business getting-started page links to Google Play and the Apple App Store. Download WhatsApp Business through the official route, open it and read the terms shown. Check the country code and full number before continuing. Enter a verification code only in the official app flow you started. Do not send the code to a caller, blog commenter or person claiming to complete setup for you.

4. Handle backup and migration carefully

The official download guide says the app looks for backups associated with the number and you may be able to restore chat history. That is not a promise that every device-to-device migration will restore everything. Read the current instructions for your own operating system and transfer direction. Do not delete an old app or backup just because a short tutorial says the history will always carry over.

5. Build a profile customers can recognise

The official profile flow includes business name, categories, hours, a profile photo, address, website and description, with some information possible to add later. Use a clear logo or a photo you own and have permission to publish. Keep your description specific: what you sell, where or how you serve customers, and how to ask about availability. Do not add an unverified award, guaranteed result or fictional branch.

6. Set expectations with greeting and away messages

The official features page describes greetings for new customers and away messages for times outside business hours. Check the schedule and audience options on your own app. A useful fictional draft is: Thank you for contacting our shop. Please share the item and quantity you need. We will confirm availability before accepting an order. Edit this to match your actual process before enabling it.

7. Do not let automatic replies make commitments

An away reply should say when someone can expect a response only if you can meet that expectation. It should not confirm stock, payment receipt, delivery time or an accepted order without a real check. If your hours change for a holiday, review the profile and scheduled reply together. Automation can acknowledge a message; it does not prove a human has reviewed the order.

8. Create a few useful quick replies

The official quick-reply guide says to open the Tools tab, choose Quick replies, add a message and shortcut, then save. Interface names may vary. To use one, type / in a chat and choose the reply. It appears in the input field so you can review or edit it before sending. Start with real answers about hours, address and how to place an enquiry rather than a long sales pitch.

9. Keep shortcuts current and human-reviewed

Use a clear shortcut such as /hours for information you have actually checked. Do not store a price that changes daily without a reminder to confirm it. A selected quick reply is not permission to send it to the wrong customer. Read the chat, choose the right answer and check names, amounts, availability and attachments. The official help also recommends keeping a copy of important quick replies because deleted replies cannot be recovered.

10. Use labels as a working list, not payment evidence

The features page describes labels for organising conversations. Pick a small set that matches your workflow, such as New enquiry, Awaiting customer details and Ready for confirmation. These are suggested labels, not official order states. A Payment received label does not prove money reached your account. Verify payment through the payment provider or bank record, not a customer screenshot alone.

11. Add a small, accurate catalog if useful

The official features page describes a catalog for products and services. Start with a manageable selection rather than every item at once. Use your own clear photos, accurate names and the information customers need to enquire. If price, stock, size or delivery conditions can change, explain what must be confirmed. A catalog listing is not proof that an item is in stock or that a delivery slot is reserved.

12. Test the public experience before promoting the number

Ask a consenting colleague or use a suitable test contact to review the profile and sample messages. Check the name, photo, address, website destination and any automatic reply. A broken website link or wrong branch address can send customers to the wrong place. Correct that before printing a QR code or publishing the number widely. Do not send unsolicited test promotions to your customer list.

13. Separate free setup from paid choices

WhatsApp describes the Business app as free to download. That does not make every related feature, ad, subscription or business service permanently free. Check the current terms and price before accepting a paid option. This guide does not require ads, a paid verification subscription or any promised sales result. Setting up a profile is not a guarantee of customer growth.

Frequently asked questions

Can one number work in both apps at the same time?

No. Official help says simultaneous Messenger and Business accounts need different numbers. Read the migration guidance before moving an existing number.

Will all old chats definitely restore?

Do not assume that. Backup and migration depend on the actual device and flow. The official guide says you may be able to restore a found backup.

Is a greeting an accepted order?

No. Keep acknowledgement separate from stock, price, payment and order confirmation.

Do quick replies send without checking?

The official flow places the chosen reply in the input field. Review or edit it, then send only to the intended person.

Can a label prove payment?

No. Check the bank or payment provider record. A label is an organisational note.

Do I need paid ads for setup?

No paid advertising is required by this guide. Paid features and promotions are separate decisions with their own terms.

Should I send my verification code to a helper?

No. Enter it only in the official verification flow you started. Never publish it in a comment.
